MerchanT Agreement

All Vendors agree to abide by the Merchant Agreement.

All booths must be paid in full on or before to reserve your space. Payment in full is required with registration.
Two weekend Merchant badges are included with each vendor registration.
No signs or advertising devices shall be displayed outside space other than those furnished by sponsors. Displays blocking the unobstructed view from space are prohibited. No displays or signs may be affixed to building walls, posts, windows or doors.
All Exhibits must be confined to the space they are registered for. Merchants assume all liabilities and/or obligations caused by faulty or improper displays. Also responsible for keeping your space clean for the safety of the public, and making sure your space is clean when you leave at the end of the event.
Merchants shall abide by and observe all laws, rules and regulations of the State of Montana and the City of Hamilton, and of Ravalli County, and departments thereof and all rules of the Ravalli County Fair Grounds.
Refund policy: Prior to May 30th, 2025, merchants may receive a full refund less processing fees. From Jun 1 to Jul 31, 2025, Merchants may receive a refund of 50% of the Merchant Fee, less processing fees. From Sep 1, 2025 and after, no refunds will be provided.
Rocky Con staff reserve the right to alter or change space assigned to Merchant, to alter or remove merchants or any part thereof, including printed materials, products, signs, lights or sound, and to expel merchants or their personnel if they violate our Policies or Code of Conduct.
Rocky Con does not condone bootleg or counterfeit materials of any kind. Possession or sale of these materials is at your own risk. If a Merchant is caught selling bootlegs and/or counterfeit items, they could be asked to leave the show and not be invited back.
If Rocky Con should be cancelled for circumstances beyond control, Rocky Con may, but is not required to, refund each merchant their paid booth space rental fee.
Merchants read, understand and will abide to the terms of the event. Merchants MUST be in attendance at their space for the entirety of the con, or have someone there to answer questions when you can’t be.
Each Merchant is responsible for their area, and the garbage in their area. Area MUST be clean and free of trash before leaving. If garbage or trash is found, there will be an additional charge for clean up.
All vehicles must be parked to the North parking lot or the Ball Park parking lot, once unloaded, The main parking lot and the East parking lot MUST be empty and ready for customers. Merchants who park there are subject to being towed at the owners expense.
Merchants accept full liability for any injury or loss to themselves, their staff, or their property while attending the show and release the Rocky Con & the Ravalli Fairgrounds from any liability.
Merchant hours can be set by the individual Merchant but our ‘standard’ vendor hours are: Saturday 10am-6pm, Sunday 10am-6pm. Load in: Friday 2pm-6pm, Sat 8am-10:00am. Load out: Sunday 6:30pm-8pm, Monday 10am-6pm.
